The software documentINDEXER STANDARD OCR Barcode AUTOMATIC DOCUMENT INDEXING ARCHIVE Version 3.4.67 automates the creation of a document search index for archive documents. OCR or Barcode automated reading is used to capture off a scanned document key information. The document key information can then be searched for in any OBDC compliant database and matched with any number of additional search index fields of choice. documentINDEXER will associate these unrelated fields of information with the processed document so that any of these fields of information can be used to search for the archived document by unlimited users using our search retrieval tool or one you create. The software can convert a TIF file into a content searchable PDF file automatically. The converted processed document can be saved, published to any server or shared drive path of your choosing and be named whatever you desire. documentINDEXER will process thousands of documents a day and several document processing workflows can be run automatically at the same time. There is nothing proprietary about documentINDEXER software. It is an open architecture, Microsoft Windows based production program.

In a nutshell what does documentINDEXER+ do?
• documentINDEXER+ is installed on its own Windows XP, VISTA Class Desktop PC
• A workflow (there can be several running at one time) is watching a folder on the scanner PC
• Whenever a TIF file is completed/closed by the scanning software, documentINDEXER+ moves it to its work folder and processes it according to the rules of the workflow.
What are some of the workflow features that will process TIF documents?
• Automatically - A key zone (like an invoice #, patient SS#, etc) on the lead page of a batch of documents (now a multi-page TIF file) can be read either through OCR or through Bar Code
• Automatically - The data from the zone read can be compared with a database of the same data to determine if there is a correct match.
• Automatically - If there is a correct match, then several fields of other data that relate to the key zone is pulled back from the database source and associated with the TIF document image. (These "other" fields of data will become the index to search for the document later.)
• Automatically - If desired, documentINDEXER+ can transfer the TIF document image into a searchable PDF file or a non-searchable PDF - you pick.
• Automatically - documentINDEXER+ will save/publish the PDF (or TIF if PDF was not selected) to any LAN server or shared drive path using ANY folder path and file name structure you can create
• Automatically - Once saved/published, documentINDEXER+ will take the complete PATH of the document and the associated index data from the previous step and write all of that information to a table either in the same database the index data was pulled from or an entirely different database.
• Automatically - If chosen, documentINDEXER+ can save/publish the document files and index data to the WorldSoft Document Management LAN or WEB software. Now your documents are ready for anyone with the correct rights on the LAN or if Web to accomplish full content searches, collaborate with group project documents or search for archived documents.

Documents are captured from user defined Microsoft folders or Outlook email documents are processed through user defined indexing processes (manual, semi-automatic or automatic) and documents are published by documentINDEXER+ to a user defined Microsoft repository (Explorer, Access, or ODBC compliant databases). documentINDEXER+ is tightly integrated with Microsoft tools; such as, Outlook and Explorer. • ODBC - AUTOMATIC Indexing with database lookup - this sophisticated component provides for user defined indexing fields, links with front end databases for validation and extraction, on-line document separation, filters and masks to refine data, etc. This component is the engine that drives this application. ALL VERSIONS EXCEPT the MANUAL VERSION have the ability to run automatic indexing, operator unattended, 24/7.
• Zone and full page OCR - zone OCR is very useful to create automated flows which preclude the need for manual indexing
• Full OCR can create searchable PDF’s - unlimited license
• Convert to PDF - a workflow would normally use tif as the captured (source) image format, because a tif image has superior image processing capabilities, and then convert the image to PDF after updating the metadata with the indexing data
• Convert PDF to TIF - this component is used when the "source" image is PDF; however, the designer wishes to take advantage of the tif processing features of documentINDEXER+
• TIF Image Enhancement (straighten, despec, split, rotate, etc)
• Metadata writer- Used when the captured (source) image format is PDF, this component is used to update the metadata with indexing information within the PDF file itself
